1. Event Confirmation
An event is confirmed only after required approvals, signed agreements, deposits and information are received. Inquiries and proposals do not guarantee availability.
2. Deposits and Payment
A nonrefundable or partially refundable deposit may secure the date. The agreement will disclose refundability and payment milestones. Final estimated balances may be required before the event, with additional charges collected afterward through an authorized method.
3. Guest Count and Minimums
A final guaranteed count may be required. Charges may be based on guaranteed or actual attendance, whichever is greater, subject to agreement. Food and beverage minimums represent required spending and ordinarily exclude taxes, service charges, fees and gratuities unless stated.
4. Cancellation and Rescheduling
Because event space leaves general inventory, escalating cancellation charges may apply as described in the event agreement. Rescheduling is subject to availability, and deposits may transfer only with express approval.
5. Venue Buyouts and Duration
Buyouts provide exclusive or substantially exclusive use of contracted areas. Pricing may include venue fees, minimums, staffing, security, simulator access, equipment, entertainment and hospitality. Events must stay within contracted times; extensions require approval and may cost more.
6. Setup, Decorations and Vendors
Setup, delivery, vendor access, decorations and breakdown must occur during approved periods. Confetti, glitter, open flames, adhesives, fasteners and smoke-producing items may be restricted. Vendors may require approval, insurance, licenses or permits.
7. Food, Beverage and Alcohol
Outside food and beverages require written authorization; outside alcohol is prohibited. Eagle & Oak controls alcohol service and may refuse or discontinue it where legally required or reasonably necessary for safety.
8. Conduct, Damage and Security
Clients must communicate venue expectations. Unsafe, destructive, threatening, unlawful or disruptive conduct may lead to removal or event termination. Clients may be responsible for qualifying damage by attendees or approved vendors. Additional security or staffing may be required and disclosed where reasonably possible.
9. Entertainment and Force Majeure
DJs, performers, audiovisual equipment, presentations, signs and installations may require approval. If circumstances outside either party's control prevent the event, rescheduling, credits, refunds and unavoidable expenses will be handled under the agreement and law.
10. Event-Specific Agreement Controls
If these general terms conflict with a signed event agreement, the signed agreement controls for that event.
