Reservation & Cancellation Policy

This policy keeps inventory available, allocates high-demand times fairly, and provides clear expectations for reservation changes and cancellations.

1. Standard Bay Reservations

Unless different terms appear during booking, cancellations made 24 hours or more before the scheduled start may be canceled without a cancellation charge and eligible deposits returned. Later cancellations may forfeit the deposit or incur the charge disclosed at booking.

2. VIP Suite Reservations

Because inventory is limited, enhanced requirements apply. Unless otherwise disclosed, cancellations 48 hours or more before the reservation may receive eligible deposit refunds; cancellations inside 48 hours may forfeit some or all of the deposit.

3. No-Shows and Late Arrivals

A party that has not arrived or contacted us within a reasonable period may be treated as a no-show and forfeit its deposit or prepaid amount. Repeated no-shows may restrict advance booking. Time begins as scheduled, and a late arrival does not guarantee an extension.

4. Changes and Deposits

Changes to date, time, space, party size or duration depend on availability. A material change inside the cancellation window may be treated as cancellation and rebooking. Deposit amount, application and refundability will be displayed before booking.

5. Peak Periods and Large Groups

Different terms may apply during holidays, major sporting events, tournaments, promotions and high-demand dates and will be disclosed before booking. Large groups may instead be governed by Event Terms.

6. Weather

Because Eagle & Oak is primarily indoors, ordinary weather generally is not grounds for automatic cancellation. If severe weather, government restrictions or facility conditions prevent safe service, guests will receive an appropriate refund, credit or rescheduling option.

7. Equipment or Facility Problems

If a failure prevents the reserved experience, we may relocate the reservation, provide more time, reschedule, issue credit or provide an appropriate refund.

8. Refund Processing and Event Reservations

Approved refunds generally return to the original payment method; timing depends partly on financial institutions. Corporate and private events, tournaments and buyouts are governed by applicable Event Terms and signed agreements.
